Payment and Subscription Policy

Version 2026-08-30

This explains what you will be charged, when, how, and what happens if something goes wrong. It is written so there are no surprises on your statement.

1. Plans

Rates are per seat and exclude sales tax. The current published rates always live on the Plans and pricing page inside the app.

2. Free trial

Every plan starts with seven days free. During the trial you have full access and are not charged, and no money moves. We email you before the trial ends. If you cancel before it ends you are never charged at all.

For a solo or team plan the seven days begin when you subscribe. For a brokerage plan they begin when MLS listing search is switched on for your firm, because that is the part your firm is waiting on a Northwest MLS licence for, and it would not be fair to spend your trial waiting for it.

3. Automatic renewal, and your consent to it

A subscription renews automatically until you cancel it. You are asked to agree to that explicitly, with a checkbox you tick yourself, before any payment method is taken. It is never pre-ticked and it is never bundled into a general acceptance of terms. We record the date, the version of these terms on screen at the time, and the network address the agreement came from.

Before an annual renewal we email you at least thirty days ahead, saying what will be charged and on what date, with a direct link to cancel. A yearly charge is large enough that it should never be a surprise.

Monthly plans do not get a reminder before each charge. The amount is the same every month, the date is the same every month, and it is shown in the app under Billing at any time.

4. When you are charged

  • The first charge is taken when your trial ends, or immediately if you did not take a trial.
  • After that, on the same day of each billing period. If that day does not exist in a shorter month, the charge falls on the last day of that month and returns to the original day the following month.
  • Add seats mid period and you are charged a prorated amount for the days remaining. Remove seats and the credit is applied to your next invoice.

5. Payment methods

We accept major credit and debit cards. Payments are handled by a PCI-compliant payment processor on its own hosted checkout page.

Seneschal never sees or stores your full card number. Card details are entered on the processor's page, not ours. All Seneschal ever holds is the card brand and the last four digits, so you can tell which card is on file.

6. Sales tax

Washington State treats software as a service as a taxable retail sale. Washington sales tax is destination based, which means the rate is set by your address, not ours. Because of that we need a complete billing address before we can charge you.

  • Sales tax appears as its own line on every invoice, with the rate and the taxing jurisdiction shown, so your bookkeeper can see exactly what was charged.
  • Customers outside Washington are not charged Washington sales tax. If your state requires us to collect tax there, we will start doing so and tell you before we do.
  • If you hold a valid reseller permit or another exemption, send the certificate through Contact support and we will apply it going forward.
  • Rates change. We use the rate in force on the day the invoice is issued and store it on the invoice, so a reissued old invoice never quietly changes.

7. Invoices and receipts

Every billing period produces an invoice, and every successful payment produces a receipt. Both are available in the app, numbered sequentially, and printable. Each shows the seller and the buyer, the service and the period covered, the amount, the tax shown separately with its rate and jurisdiction, and the total.

Receipts are delivered electronically. Ask through Contact support if you need one on paper.

8. If a payment fails

Cards expire and banks decline things. When a charge fails:

  1. We email you the same day and tell you what to fix.
  2. The card is retried automatically over the following days.
  3. If the balance is still unpaid after fourteen days, the account may be suspended.

Suspension is not deletion. Your contacts, deals and history stay exactly where they are. Clear the balance and everything comes back as it was.

9. Cancelling

One button inside the app. No phone call, no email required, no retention offers to click past. Cancelling is as easy as subscribing, on purpose.

You keep full access to the end of the period you have already paid for. Refunds are covered in the refund policy.

10. Price changes

The price you sign up at is the price you keep for as long as your subscription runs without a break. If we change the price of your plan, we will email you at least thirty days before it affects you, and you can cancel before it takes effect.

Founding member rate. The first twenty five brokers to subscribe to a Solo monthly plan on or before 1 November 2026 pay $49 per month for their first twelve months. The offer applies to that plan only: $49 is the Solo monthly rate less ten, and it does not apply to Solo Annual, Team or Brokerage plans, which are priced differently and already discounted. The twelve months run from your first payment, which is the day your free trial ends. After that the subscription renews at the published rate for your plan, and we email you at least thirty days before that first full price charge so it is never a surprise. Cancel at any point before it and you pay nothing further.

The offer closes when either the twenty five places are taken or 1 November 2026 passes, whichever comes first. A subscription that lapses for more than thirty days does not keep the rate, and restarting is charged at the published rate.

11. Disputed charges

If something on your statement looks wrong, contact us before you contact your bank. We will look at it and, where we got it wrong, fix it and refund it. A chargeback filed without asking first freezes the account until the bank resolves it, which helps nobody.

12. Brokerage and group billing

  • A brokerage account is invoiced as one bill for all its seats, to the brokerage.
  • The brokerage administrator adds and removes named seats. Agents keep their own separate data, and sharing a bill does not share a database.
  • Where an account is offered the option to share data across its seats, it is off unless that account deliberately turns it on, and it can be turned off again. We never switch it on for you.
  • An agent who leaves a brokerage plan can move their own data to an individual plan. Ask through Contact support and we will arrange it.
  • Purchase orders and invoice-based payment terms are available for larger brokerages by arrangement.
